Job opportunity: Administrative Assistant

Curl BC is seeking an part time Administrative Assistant for 20-25 hours/week

Job Location: Our office is located in the Sport BC Building in Richmond (#293-3820 Cessna Drive), however, we will be moving locations in April 2013 to the Burnaby Lake area.

Position Description:

Reporting to the CEO, the Administration Assistant will be the lead on office administration duties, supporting all staff.

A team player, the Administrative Assistant will be a self-starter, have excellent computer, organizational and listening skills, and pay close attention to detail. They will also have strong and personable communication skills. Event planning skills are also beneficial to this position.

Core Functions

  • Organize Curl BC Board & General Meetings
    • With management staff, assist with the timely distribution of material to the Board
    • Support the Board with meeting, travel and other arrangements
  • Administrative support for the CEO and other Managers on staff
  • Ensure various reporting deliverables are met
  • Bookkeeping including the preparation of cheques, invoices and bank deposits
  • Liaise with Regional Representatives to ensure all reports are submitted on time
  • Maintenance of the organization’s databases, office supplies and inventory
  • Maintain an office manual
  • Reception
    • Answer general phone inquiries in a professional and courteous manner
    • Direct phone inquiries to the appropriate staff member
    • Reply to general information requests with the accurate information
    • Greet visitors to the organization in a professional and friendly manner
    • Process sales of resource orders
  • Office administration
    • Use computer word processing, spreadsheet, and database software
    • Sort incoming mail, faxes, and deliveries for distribution
    • Prepare and send outgoing faxes, mail, and packages
    • Forward incoming general e-mails to the appropriate staff member
    • Relay voice mail from the general mailbox to the appropriate staff member

Skills and Qualifications

  • A degree, diploma, certificate or related experience
  • Strong interpersonal and communication skills, and a proven team player
  • Strong organizational skills and detail oriented
  • Proficiency in Microsoft Office, particularly Excel
  • Experience with bookkeeping and Simply Accounting is an asset
  • Small event or meeting planning experience
  • Proven ability to work independently
  • Experience in the sport sector preferred
